1. About this policy

Sheppard’s Heavy Tyre Solutions Pty Ltd (“we”, “us”, “our”) is an Australian registered company based in Western Australia. We respect your privacy and handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs) contained in that Act.

This policy explains what personal information we collect, why we collect it, how we use and disclose it, how we keep it secure, and how you can access, correct or complain about our handling of it. It applies to this website, sheppardsheavytyresolutionstec.site, and to our dealings with customers, suppliers and enquirers.

2. The personal information we collect

We only collect personal information that is reasonably necessary for our functions and activities as a heavy tyre service business. In practice this is:

  • Contact details — your name, email address, business or trading name, job title and the site or postal address where work is required.
  • Enquiry and job information — the machine, tyre and rim details, site access notes, service history and any correspondence you send us about a job.
  • Transaction records — quotes, work records, invoices and payment references relating to services we have supplied.
  • Website usage information — limited technical information such as the pages requested, the approximate region of the request, the referring page and browser type, collected by our hosting provider in server logs.

We do not seek sensitive information as defined by the Privacy Act, and we ask that you do not send it to us. We do not collect government identifiers such as tax file numbers through this website. Where site access requires identity or induction details, those are handled by the site operator rather than collected here.

3. How we collect it

We collect personal information directly from you wherever it is reasonable and practicable to do so — when you email us, complete the enquiry form on our contact page, speak with our crew on site, or engage us to carry out work. The enquiry form on this website opens your own email application; it does not transmit your details to any third-party form service.

Occasionally we collect information about you from someone else, for example when a site supervisor or fleet manager gives us a contact for a machine operator so that we can arrange access. Where that happens, we will take reasonable steps to make sure you are aware of this policy.

4. Why we use it

We use personal information to:

  • respond to enquiries and prepare quotes;
  • schedule, carry out and record tyre fitting, breakdown, repair and servicing work;
  • order tyres, casings, rims and hardware needed for your job;
  • invoice for work and manage payment;
  • keep service and safety records relating to work we have performed;
  • meet our legal, insurance and work health and safety obligations; and
  • maintain and improve the security and performance of this website.

We do not use your personal information for any unrelated secondary purpose unless you would reasonably expect us to, or you have consented, or we are permitted or required to do so by law. We do not sell personal information, and we do not send marketing material to people who have not asked for it.

5. Who we disclose it to

We may disclose personal information to:

  • tyre, retread, rim and component suppliers, where this is necessary to source or process items for your job;
  • the operator or principal contractor of a site we are attending, where access, induction or permit arrangements require it;
  • our professional advisers, insurers and accounting or payment providers, in confidence;
  • our website hosting and email providers, who process data on our behalf; and
  • a court, regulator or government agency where disclosure is required or authorised by law.

Some of our technology providers may store data on servers located outside Australia. Where we disclose personal information to an overseas recipient, we take reasonable steps to ensure the recipient handles it in a way consistent with the Australian Privacy Principles.

6. Cookies and this website

This website is static and does not set advertising or analytics cookies, does not use tracking pixels, and does not embed third-party scripts or fonts. Our hosting provider records standard server log information, including internet protocol addresses, for security, abuse prevention and reliability purposes.

Your browser may store its own local data, such as cached copies of pages. You can clear or restrict this at any time through your browser settings without affecting your ability to use the site.

7. Security and storage

We take reasonable steps to protect personal information from misuse, interference and loss, and from unauthorised access, modification or disclosure. These steps include restricting access to our email and business records to people who need it, using reputable providers, and keeping devices and accounts protected.

No method of transmission over the internet is completely secure. Email in particular is not an inherently secure channel, so please do not send us financial or identity documents by email unless we have agreed on a secure method.

8. How long we keep it

We keep personal information only for as long as it is needed for the purpose it was collected for, or for as long as we are required to retain it under Australian tax, corporate, work health and safety and limitation-period laws. Service and safety records relating to heavy tyre work are generally kept for the longer of those periods. When information is no longer needed and we are not required to retain it, we destroy it or de-identify it.

9. Accessing and correcting your information

You may ask us for access to the personal information we hold about you, and you may ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Email your request to [email protected].

We will respond within a reasonable period, normally within 30 days. We may need to verify your identity before releasing information. If we refuse access or correction, we will tell you why in writing and explain how you may complain about that decision. We do not charge for making a request, though we may charge a reasonable cost for supplying access in a particular form.

10. Complaints

If you believe we have breached the Australian Privacy Principles or otherwise mishandled your personal information, please tell us first. If you are not satisfied with our response, you may refer the matter to the Office of the Australian Information Commissioner (OAIC), which oversees compliance with the Privacy Act 1988 (Cth). The OAIC can be contacted through its published enquiry and complaint channels.

11. Notifiable data breaches

If we become aware of unauthorised access to, or disclosure or loss of, personal information we hold, and that is likely to result in serious harm, we will assess the incident and notify affected individuals and the Office of the Australian Information Commissioner as required by the Notifiable Data Breaches scheme in Part IIIC of the Privacy Act 1988 (Cth).

12. Changes to this policy

We may update this policy from time to time to reflect changes in our practices or in the law. The current version is always the one published on this page, and the date at the top shows when it was last revised. Continuing to use this website after a change means you accept the revised policy.
